Privacy Policy – Prolerus

Prolerus Education Limited (“we”, “our”, “us”) provides Services that enable Education Providers to analyse school material uploaded by students. This Privacy Policy explains how we collect, use, store, and protect personal information under the Privacy Act 2020 (NZ).

We take the privacy and safety of young people seriously. If you have questions, please contact our Privacy Officer at:

1. Information We Collect

We collect the following types of personal information when you use our platform:

• Students: First name, email, login details, classes, school, role, video content, audio files, AI interactions, and related reports.
• Teachers: First name, email, login details, classes, school, role.
• Technical: Device type, browser, IP address, usage data.
• Support: Messages sent for help or feedback.

2. How We Use Information

• Provide access to the platform and learning tools.
• Track and report on student learning progress.
• Associate students with schools, classes, and teacher accounts.
• Improve and develop services through anonymised analytics.
• Ensure safety, security, and legal compliance.

Note: We do not sell or use student/teacher data for marketing.

3. Sharing and Disclosure

We may share information only:

• With the school or teacher managing the student account.
• With service providers under strict confidentiality agreements.
• When required by New Zealand law.

We never share data with advertisers.

4. Storage and Security

Data is stored securely with encryption and access controls:

• Registration info: AWS servers (Sydney).
• Video content: Cloudflare Global Network.
• Audio files: United States.
• AI interactions: United States.

All systems comply with SOC 2 Type II standards.

5. Children’s Privacy

Our platform may be used by students aged 10–18 under teacher/school guidance. We collect the minimum necessary data. Students are encouraged to raise concerns with a teacher, guardian, or parent.

7. Data Retention and Deletion

Student data is retained only while schools use our platform. At the end of use, data is securely deleted within 60 days unless law requires otherwise. Early deletion may be requested.

8. Cookies and Tracking

We may use cookies to keep users logged in, improve performance, and analyse anonymised patterns. You may disable cookies, but some features may not work.

9. Changes to This Policy

We may update this policy with a new “last updated” date. Significant changes will be notified to schools.

10. Artificial Intelligence

Personal Information is never used to train AI models.
